Amenity staffing
A community that starts hiring pool staff in May is already late. Set the roles and the hours here once and insured staffing vendors send back their proposals. The roles are certified lifeguards, pool monitors, and amenity attendants, for pools, fitness centers, clubhouses, and gates.
Shift records
Hours covered, posts covered, and guards on the stand are all required before the shift will close.
Clock-in and clock-out are recorded on the shift, and the hours covered are a required field. They are what a staffing invoice is read against.
A guarded post has to state how many certified guards were on the stand, or the endorsement proves nothing after the fact.
A quiet substitution is carried on the record, shift by shift, rather than noticed or not.
Shift roster
This is the schedule your board opens in its dashboard, on one staffed Saturday. Two guards hand over on the main deck at 2:30, and the kiddie pool is attended for six hours of the day.

Staffing roles
A certified lifeguard is the one post trained to make a water rescue, so writing the wrong role into your scope is how a season goes wrong.
Trained to perform water rescues, on a current certification from a nationally recognized program. American Red Cross and Ellis are two of them. A shallow-water certificate does not qualify a guard for a deep end. This is the safety-critical hire for open swim, and the most expensive of the three.
Wristbands, headcount, pool rules, incidents logged. A monitor costs less than a guard and keeps a deck orderly. Not a substitute for a lifeguard.
Fitness center, clubhouse, front gate. ID checks, access control, and a staffed post where there was an empty room.

Most self-managed communities staff a pool with a clipboard at the gate and an invoice at the end of the month.

“A sign-in sheet at the gate” is the status quo at a self-managed community, not a named product. Six companies, six invoices. You pay each one. They all land here on the same terms, so nothing has to be chased through email.
Vendor verification
Insurance and trade credentials are verified before a vendor can propose, and a credential that lapses stops new proposals until it is current again.

A staffing company on a guarded deck files general liability, workers’ compensation, a background check, and a lifeguard certification, and each one is read by a person here who records the date it runs out. We reach out for a renewal 30 days before that date. An insurance line that lapses keeps proposals open for 30 days while the renewal certificate reaches us, and a lifeguard certificate has to be current on the day of the shift.
Amenities
The pool deck, the kiddie pool, the fitness center, the clubhouse, and the gate. Each post takes its own role, its own hours, and its own shift history.

Posts and hours
When a community asks for weekend pool coverage, a staffing vendor still needs to know which deck and for how many hours. Mark each post and put the hours on it, so every vendor prices the same roster. Shifts are then recorded against the posts they covered.
