Every amenity staffed and serviced.

Lifeguards, pool service, cleaning and the fitness center share one calendar. Staffing companies file a record for every shift, with the hours, the post and a photo of the post. Certificates sit on file with their renewal dates.

Follow every work order to approval.

A work order moves from not yet accepted to dispatched, on site, awaiting approval and then approved or paid. Each one carries the arrival time, the checklist and the photos, and a visit cannot close without them.

  • Insurance before the workA vendor needs the documents its trade requires before it can propose. A lapse puts it on hold.
  • Photos behind the chargeRead the checklist and photos behind an invoice line before you approve it.

Turns and make-ready on a deadline.

A unit comes back and the next resident moves in on a fixed day. Write the request once, set the date for answers from the move-in and let verified companies in the trade price it. One unit goes on one request.

  • Work back from the keysThe move-in is fixed. The finish, the answers and today all hang from it.
  • Kept under the unitThe request, every proposal, the award, the visit record and the invoice file together for the next turn.

Commercial property with insurance on the exhibit.

Set the coverage a lease exhibit asks for, line by line. Each vendor’s certificate is read against your figures and every line answers Meets, Short, Missing or Expired. A shortfall is named in dollars.

  • Porters and building engineeringDay porters, HVAC and mechanical rooms each carry their own documents.
  • Tracked by dateA reminder goes out two weeks ahead and an expired policy puts the vendor on hold.

What a manager opens every day.

The same six tools serve every role above.

How an account starts.

Five steps take you from an empty account to a first request.

  1. Create your account

Sign up on your own or take a seat from your management company.

  2. Add a property

Draw the common areas on a satellite map. The figure is approximate.

  3. Invite your vendors

The vendors you already use join for free and file their documents.

  4. Set your minimums

Choose the insurance and background checks every vendor must meet.

  5. Send a request or an RFP

Read the proposals side by side when they arrive.

Questions managers ask first

What does it cost a management company?

An account is free and covers one community. Community Enterprise for a management company is custom, set up with you on a call.

Can my team share one account?

Yes. A management company seats each manager and sets what each seat can see. A regional manager sees their region and an accountant sees money and not maintenance.

Do my vendors have to pay to join?

No. Vendors join free, file their insurance and trade documents once, and use them for every community they serve.

Does it work in every state?

Yes. Each community follows its own state’s rules, and one view covers all of them.

Create your account, add a property and invite the vendors you already use.
